Privacy notice

This notice describes the data Vectis Consulting LLC collects through the Front Desk marketing site and demo. A participating insurance agency must provide its own caller-facing privacy terms for its deployed assistant.

Information we collect

When you request a demonstration, we collect the business contact and agency information you submit, such as your name, work email, phone, agency name, team size, estimated call volume, timing, and stated operational needs. The interactive website demo processes the text you enter. Do not enter policy numbers, Social Security numbers, payment-card data, claim documents, health information, or other sensitive personal information.

How we use information

We use the information to respond to your request, assess pilot fit, operate and secure the service, improve approved call flows, and comply with law. Optional marketing email is sent only when selected. We do not sell personal information.

Phone calls and transcripts

A live demonstration or customer deployment identifies itself as an AI assistant and provides a recording or transcription notice at the start of the call. The system is designed to redact obvious Social Security and payment-card patterns and to avoid collecting those values. Redacted call text is retained for a limited period set for the deployment; the default is 30 days. Raw call recording is disabled unless the agency deliberately enables it with appropriate notice and consent controls.

Service providers

We may use infrastructure, telephony, email, scheduling, database, security, and analytics providers to deliver the service. They receive only the information needed for their role and are governed by their service terms and our configuration.

Retention and security

We retain business inquiries while they remain relevant, unless deletion is requested or law requires longer retention. We use access controls, encryption in transit, restricted network exposure, backups, audit records, and data minimization. No system is perfectly secure.

Your choices

You may unsubscribe from introductory email using the link in the message. You may ask to access, correct, or delete a business inquiry by emailing contact@vectisco.ai. We may need to retain limited suppression or compliance records.
